April Showers Bring May Flowers
Red Velvet Events loves Austin, but we know that the weather here can change at the drop of a hat. That’s why we always plan for weather emergencies, no matter the size or scale of the event. This is especially true in the spring, when so many events are held outdoors – and the weather can be particularly fickle, even during a drought.
If you’re planning an outdoor event for the spring, you may want to leave room in your budget for the following options:
No one wants to move an outdoor event inside; but if worse comes to worse, you’ll have to – or risk getting all your guests and food soaking wet! Ensure that your venue can legally house the number of guests who will be attending.
Always make sure there’s enough room at the venue (and in your budget) for a tent – and that a tent will be available, either from the venue or from one of your vendors. If a tent is not an option and the venue’s interior space is unavailable or unacceptable for some reason, work with the venue staff and your event planner to see if, for example, you can make creative reuse of the foyer space. And if you go the tent route, be sure to get the proper city permit and reconfirm if you have to water-barrel vs. staking the tent in the ground.
Everyone’s been to an event where the ground’s just damp enough to make high heels sink into the mud. Look into whether your venue offers alternate areas – like patios and walkways – that can be utilized more heavily if the ground becomes muddy.
While this isn’t really a problem in Texas’ notoriously hot summers, the fall and spring can bring unexpected cold snaps. Make sure your guests will be adequately heated, should the temperature suddenly drop in the days leading up to the event. And don’t forget, if you’re event is located inside a tent, you have to use a non-propane space heater.
Is your venue’s outdoor space prone to flooding? If it is, double check that the venue has alternate indoor space available on the date of your event – and know what the financial ramifications, if any, will be to you.
